About the Role

The Billing Specialist will be responsible for managing the entire customer invoicing cycle, ensuring that all billing processes are accurate, timely, and compliant with regulatory requirements. The role directly supports the company’s financial health by ensuring transparency and precision in revenue recording.

You will work closely with sales, logistics, and finance teams to guarantee a seamless order-to-invoice process while maintaining strong customer relationships through professional communication.

Key Responsibilities

1. Customer Invoicing and Revenue Management

Manage the end-to-end customer billing process using the company’s accounting systems (including HQ system).
Generate and finalize customer invoices based on approved sales orders and delivery confirmations.
Ensure all billing transactions are accurately documented and processed.
Prepare and issue credit notes for approved returns, adjustments, or discrepancies with proper authorization.
Act as a key contact for billing inquiries, ensuring timely and professional responses to clients.

2. Tax Compliance and Regulatory Adherence

Conduct daily reconciliation of sales invoices with the Tanzania Revenue Authority (TRA) Electronic Fiscal Device (EFD) system.
Ensure 100% compliance with Tanzanian tax laws and regulations.
Maintain accurate tax documentation for audits and regulatory reviews.
Ensure all invoices meet TRA standards and compliance requirements.

3. Billing Data Management and System Maintenance

Maintain accurate billing records across QuickBooks, Odoo, and Google Sheets.
Perform precise data entry of customer billing information into accounting systems.
Ensure consistency, accuracy, and completeness of billing data.
Support month-end closing activities by providing accurate billing reports and data.

4. Reporting and Financial Support

Assist the Accounts team in preparing monthly financial reports.
Support data analysis and reconciliation during financial closing periods.
Maintain data integrity across all billing and financial systems.
