Purpose of the Role
The purpose of this internship is to support the Finance & Administration Unit while giving the successful candidate valuable practical experience in:
- Financial operations
- Reporting and analysis
- Accounting procedures
- Administrative support
- Office coordination
This role is ideal for recent graduates who want to strengthen their professional skills in finance and administration.
Key Responsibilities
Accounting and Finance Duties
The selected intern will assist in a wide range of finance-related tasks, including:
- Assisting in assembling and preliminary checking of payment requisitions, invoices, and related documents
- Supporting the preparation of payment vouchers and cheques according to company procedures
- Ensuring beneficiaries acknowledge receipt of payments
- Maintaining proper filing of payment documents for future reference
- Ensuring all payment documents are clearly stamped “PAID”
- Assisting in receiving and checking travel accountabilities before forwarding them for authorization
- Maintaining records of authorized travel advance requests and accountability summaries
- Supporting weekly entry of transactions into the accounting system
- Updating and maintaining the inventory register
- Tracking and following up staff travel advances for timely accountability
- Assisting with data entry and maintenance of the fixed assets register
Administration Duties
Front Office Management
Responsibilities under front office support include:
- Maintaining the general filing system
- Filing correspondence related to service providers, administration, and projects
- Enhancing Kilimo Trust’s corporate image through proper front office organization
- Supporting the coordination of internal meetings
- Assisting with scheduling and agenda preparation
General Administration
The intern will also support daily office operations through:
- Coordinating staff travel logistics
- Supporting procurement of goods and services while ensuring value for money
- Preparing office correspondence and internal memos
- Assisting in event organization and logistics arrangements
- Managing office equipment and liaising with service providers for printers, copiers, and internet services
- Supporting digital archiving by scanning and saving documents on the server or cloud
Required Skills and Competencies

Educational Qualifications and Experience
