Internship Overview
The Procurement and Administrative Intern will join SNV Tanzania’s Operations Team and support the Contract & Procurement Advisor and the Administration team in daily procurement processes, vendor coordination, logistics support, and office operations. This role serves as a key link between procurement and administration, ensuring that SNV’s workplace operations and supply chain run smoothly to support program delivery across SNV’s technical sectors.
Key Duties and Responsibilities
A. Procurement and Logistics Support
The intern will assist with a range of procurement and logistical tasks, including:
- Initiating Requests for Quotations (RFQs) and reviewing submitted bids
- Participating in tender opening and evaluation processes
- Supporting travel logistics, including hotel bookings and flight reservations for staff and consultants
- Updating procurement contracts and maintaining status trackers
- Supporting data entry in SAP Business Development (SAP BD) and SharePoint
B. General Administration and Office Operations
The intern will support office management and daily administrative activities such as:
- Front Office Coordination: Receiving visitors and managing incoming/outgoing mail and courier services
- Asset and Inventory Management: Updating the office asset register and conducting periodic physical verification of office supplies and stationery
- Facility Management: Coordinating with service providers (cleaning, security, and maintenance) to ensure a safe and conducive working environment
- Meeting and Event Coordination: Supporting internal meetings, workshops, and events, including room setup and equipment arrangement
- Utility Management: Assisting in tracking and processing payments for office utilities and service providers (electricity, water, garbage collection, DHL, hotels, taxi services)
- Supporting disposal processes when necessary
- Performing any other duties assigned by the line manager
C. Compliance and Documentation
To ensure strong accountability and compliance, the intern will:
- Maintain a clear and organised filing system (hard copy and electronic) for procurement and administrative records
- Follow up with vendors for timely submission of invoices and supporting documentation
- Ensure administrative actions align with SNV’s Internal Control Framework
- Facilitate proper filing of procurement and contract documentation in line with approved checklists
- Assist with registration of new vendors in relevant systems
- Support communication with vendors to finalise procurement requirements
- Support booking of accommodation, conferences, and local flights, including ticket issuance
- Follow up on invoices with hotels and service providers after services have been rendered
- Support PRF tracking and procurement document updates in SharePoint
- Assist in requisition processing, including creation, tracking, and filing of Purchase Orders (POs) and procurement documentation in SAP BD
Qualifications
SNV is looking for candidates with the following academic and professional background:
Education
Applicants must have either:
- A Bachelor’s Degree in Procurement, Logistics, Business Management, or a related field, OR
- A Professional Level III certification (PSPTB, CIPS, or equivalent)
Experience
- Fresh graduates are encouraged to apply
- Up to two (2) years of experience in an NGO environment is an added advantage
Technical Skills
- Basic understanding of procurement analysis
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)

- Travel Costs: SNV will cover costs related to official duties, including health insurance, in line with SNV policy
