Job Summary
Position Title: Workshop Supervisor
Contract Type: Full Time – 100% (Re-advertised)
Location: Liwale, Lindi – Tanzania
Reports to: Log Manager / LTL
Direct Reports: Mechanics, assistant mechanics, drivers, and trainees
Main Purpose of the Role
The Workshop Supervisor will oversee and monitor daily mechanical servicing and workshop activities in both the capital and project areas, in accordance with MSF standards, protocols, and procedures. The goal of this role is to ensure the efficient running of the workshop, and the reliability and safety of MSF vehicles and all motorized equipment such as generators, pumps, and other engines.
Key Duties and Responsibilities
1. Workshop and Fleet Maintenance Supervision
The Workshop Supervisor will be responsible for supervising day-to-day mechanical servicing activities while ensuring full compliance with MSF mechanical standards. This includes:
- Ensuring repairs and maintenance for all vehicles and motorized engines (generators, motor pumps, etc.)
- Organizing and planning servicing schedules (corrective, predictive, and preventive maintenance)
- Ensuring fleet longevity and optimal performance in both field and capital operations
2. Logbook Monitoring and Safety
The role requires strict tracking of workshop operations through proper documentation and safety procedures. Responsibilities include:
- Following the logbook to track all services and repairs
- Supervising services performed by mechanics, assistant mechanics, drivers, and trainees
- Performing complex or specialized services when required
- Identifying vehicles that require urgent or unscheduled intervention
3. Spare Parts, Tools, and Consumables Management
The Workshop Supervisor will manage spare parts and workshop resources to ensure availability and cost-effective operations. This includes:
- Identifying spare parts, tools, and consumables needed for the fleet
- Evaluating local suppliers and placing orders
- Monitoring incoming and outgoing deliveries (spare parts, lubricants, fuel, etc.)
- Reporting stock levels to the line manager weekly
4. Leadership and Team Supervision
The position involves supervising the logistics workshop team and ensuring work quality and coordination. Duties include:
- Defining tasks for each team member
- Developing working schedules
- Organizing and leading team meetings
- Supervising daily work and checking performance quality
5. Human Resource and Capacity Development
The Workshop Supervisor supports key HR functions related to mechanics and drivers, including:
- Supporting recruitment processes
- Conducting training and mentorship for drivers and mechanics
- Supporting performance evaluations
- Ensuring proper internal and external communication within the team
6. Reporting and Documentation
Strong reporting practices are required to ensure vehicle records remain accurate and complete. The supervisor will:
- Provide monthly activity reports
- Ensure all vehicle documentation is updated
- Confirm inspection reports are properly filled in by drivers
Context-Specific Responsibilities (Project Focus)
In addition to the general responsibilities, the role includes project-specific duties such as:
- Organizing preventive and corrective maintenance in collaboration with the logistics team
- Ensuring full visibility of maintenance activities and spare part usage
- Centralizing and analyzing spare parts consumption data based on a service chronogram
- Implementing administrative garage management tools with support from the Fleet Manager
- Ensuring proper archiving for accessibility and reliability of mechanical records
- Implementing workshop monitoring tools to ensure continuity of fleet management protocols
- Ensuring Standard Operating Procedures (SoPs) are applied to improve service quality
- Overseeing workshop equipment availability and ensuring tools are tracked in Track My Stuff (TMS)
- Supporting inventory checks for mechanical stock (garage and logistics stock)
- Preparing mechanical orders (ad hoc, monthly, quarterly, semi-annual, and annual)
- Strengthening mechanic skills, including specialized areas such as ABS braking systems
- Building basic mechanical skills among drivers, guards (generator handling), and logisticians
Qualifications and Requirements
Education
- Desirable: Bachelor’s Degree or Diploma in Mechanical Engineering or Automotive Technology
- Essential: Driving License and formal training in Mechanics
Experience
- Minimum 2–3 years of experience in similar roles
Knowledge
- Basic skills in Microsoft Word and Excel are essential
