1. Administrative Officer (1 Position)

Job Summary
The Administrative Officer will serve as the first point of contact for internal and external clients and will provide essential support to ensure smooth office operations. The role involves front desk management, administrative and HR support, office and record management, and occasional assistance to the Country Director. The officer reports directly to the People and Culture Director.
Key Responsibilities
Front Desk Management
- Welcome and guide visitors, ensuring professional service.
- Maintain visitor logs to enhance workplace security.
- Handle incoming and outgoing phone calls effectively.
Administrative Support
- Coordinate domestic and international travel, including flights, hotels, and transport.
- Arrange meetings, training rooms, and related logistics for staff and visitors.
- Perform administrative tasks such as filing, scanning, copying, and note-taking.
Office Management
- Ensure all office equipment (internet, telephones, printers) functions properly.
- Supervise cleanliness and maintenance of office premises.
- Manage office supplies, equipment, and plan office events.
Document and Record Management
- Receive, distribute, and manage letters, packages, and office files.
- Maintain contracts with office service vendors.
HR Support
- Assist with employee onboarding, insurance queries, and interview logistics.
- Prepare HR documents and support recruitment processes.
Minimum Requirements
- Education: Bachelor’s Degree in Business Administration or related field.
- Experience: Minimum 2 years in office administration; HR experience is an advantage.
- Skills: Fluent in English and Kiswahili, strong IT skills, attention to detail, multitasking ability.

2. Procurement Officer (1 Position)
Duty Station: Dar es Salaam
Employment Type: Full-Time
Job Summary
The Procurement Officer will manage procurement processes for all equipment, supplies, and services required by MSI Tanzania, ensuring cost-effectiveness, compliance with organizational policies, and donor regulations. The role requires integrity, self-motivation, and the ability to work with minimal supervision.
Key Responsibilities
Procurement Planning
- Develop and maintain an Annual Procurement Plan aligned with organizational priorities.
- Ensure timely procurement of goods and services while maintaining best value.
- Coordinate Procurement Committee meetings and documentation.
Purchasing Function
- Vet suppliers and evaluate quotations and tenders in compliance with MSI policies.
- Negotiate contracts and maintain strong supplier relationships.
- Process purchase requests, quotations, and orders using the TRADOGRAM Procurement System.
- Coordinate importation, shipping, and customs clearance of goods.
Record Keeping and Documentation
- Maintain accurate procurement records including contracts, tenders, and purchase documentation.
- Ensure compliance with organizational and audit requirements.
- Maintain supplier databases and ensure proper delivery of goods.
Minimum Requirements
- Education: Bachelor’s Degree in Procurement, Supply Chain Management, or related field.
- Professional Certification: Registered with a recognized Procurement and Supplies Professional Board; Certified Procurement and Supplies Professional (CPSP) preferred.
- Experience: Minimum 3 years in procurement of supplies, equipment, and services in a large organization.
- Skills: Strong negotiation, IT literacy, numerical and analytical skills, ability to meet tight deadlines.
