About the Role: Inventory & Procurement Controller

The Inventory & Procurement Controller plays a vital role in ensuring smooth inventory management and procurement operations. The position focuses on accurate stock control, reporting, and compliance with company policies and customs regulations.

Working closely with the Operations Supervisor, the successful candidate will support operational efficiency by preparing daily, weekly, and monthly reports, particularly on expiry items, short-expiry stock, and product vintage tracking, This role is essential in maintaining efficient supply chains, minimizing stock losses, and ensuring the availability of products for customers.


Key Responsibilities

The Inventory & Procurement Controller will be responsible for a wide range of operational and reporting duties, including:

Inventory Management

  • Direct and monitor all stock movements while ensuring accurate recording in the ERP system.
  • Validate Goods Receipt Notes (GRN), stock put-away, and bin allocation processes.
  • Maintain accurate batch numbers, expiry dates, and product vintage records.
  • Enforce FIFO (First In, First Out) inventory management and proper storage standards.
  • Ensure correct product handling to maintain quality and compliance.

Reporting and Reconciliation

  • Conduct periodic reconciliations between ERP systems and TANCIS records.
  • Upload monthly duty-free sales data.
  • Produce detailed monthly inventory reports for management and financial review.
  • Maintain documentation that is audit-ready at all times.

Procurement and Supplier Coordination

  • Act as the first point of contact for new supplier or product enquiries.
  • Screen suppliers and coordinate approvals with the Retail Buyer or F&B leadership.
  • Maintain an item master library, product range plans, and forecasting tools.
  • Liaise with Commercial Finance, Buyers, and the Head Chef to approve margins for new products.
  • Manage supplier price lists and coordinate trade agreement updates with the Pricing team.

Inventory Control and Compliance

  • Plan and conduct perpetual and annual physical stock counts.
  • Investigate discrepancies and prepare detailed reports.
  • Manage damaged or expired stock, including write-offs and product destruction in accordance with policy and regulations.
  • Coordinate customs clearance processes for international shipments.
  • Monitor par levels and short-expiry products to prevent stock shortages or overstocking.

Required Skills and Qualifications

To qualify for this role, candidates should possess the following:

  • Minimum 4 years of experience, preferably managing small teams with diverse nationalities and skill levels.
  • Basic knowledge of audit procedures, internal controls, and accounting principles.
  • Proven experience in Fast Moving Consumer (FMC) environments and products.
  • Familiarity with ERP or Warehouse Management Systems (WMS) and RF technology.
  • Strong numerical and analytical skills.
  • Solid knowledge of modern stock control methods and industry standards.
  • Strong computer skills, especially in Microsoft Office (Excel, Word, and reporting tools).
